Game Truck Australia Host Terms and Conditions
These Terms and Conditions form an agreement between you as the host of the Event and Epic Gaming Events and Entertainment Pty Ltd (ACN 166 996 765) trading as Game Truck Australia (GTA). By completing the booking process and paying the required deposit you agree to be bound by the terms and conditions contained herein.
Bookings are accepted on school holidays, public holidays and on weekends during South Australian school terms (as determined by the SA Department of Education and Child Development).
Bookings outside the Adelaide metropolitan area incur a surcharge.
All bookings are subject to availability.
Bookings must be made via the GTA website www.gametrauckaustralia.com.au
A 50% deposit is required to confirm the date, with the full balance payable prior to the commencement of the Event.
Merchant facilities are available on the day and will incur a 3% credit card processing fee.
All guardians of guests must RSVP for all children attending the Event.
Upon commencement, all registered guests will be given a wristband.
Under no circumstances will guests without a GTA wristband be allowed to participate.
GTA accepts no responsibility for participation of guests that have not registered via the GTA website.
In the unfortunate event of an Event cancellation, 7 days notice is required to qualify for rescheduling, subject to availability.
Cancellation with less than 7 days notice will forfeit the deposit.
If Game Truck Australia is forced to cancel an Event, a refund to the maximum of the cost of the booking with GTA, or rescheduling will be offered, at the sole discretion of GTA.
GTA conducts Events within their custom built 21-foot van (the Game Truck), which is brought to the venue nominated by the host during booking.
It is the responsibility of the host to ensure:
- There is adequate clearance and/or frontage to accommodate the Game Truck (approx. 14 metres inc. utility vehicle);
- all necessary permissions required for GTA to park the Game Truck at the location requested by the host; and
- the location of the Event does not unnecessarily impact on neighbours, including but not limited to parking and noise.
The Game Truck is designed to accommodate the maximum number of players, however this is dependent on the number, age, and size of players.
In the event that not all invited guests can fit into the Game Truck in one sitting, a roster system will be utilised to ensure that all guests have adequate time to participate.
GTA makes every effort to ensure that only age-appropriate games are made available to Event attendees.
Hosts and guests have the responsibility to declare children’s ages accurately during the registration process.
M15+ (restricted) games will not be made available to children under the age of 15 unless written permission is provided by both the guardian of the guest and also the host of the Event. GTA will rely on the representations made during the booking process to determine availability and age appropriateness of games.
GTA has clear rules for behaviour within the Game Truck.
All participants agree to follow all reasonable directions of GTA operators.
Game Truck Australia does not provide food or drinks during parties.
No food or drinks are allowed within the Game Truck.
It is strongly recommended that the Event be scheduled to allow for refreshments after gameplay, not before.
Any GTA recommended food services operate independently of GTA and attract no liability.
GTA Loot Bags contain products from 3rd party suppliers. GTA makes no representation as to the ingredients contained therein and guests should make their own enquires as to any possible allergic reactions prior to consumption.
Health and Safety
Game Truck Australia takes every effort to ensure the health and safety of all Event attendees and will provide adequate supervision at all times.
You as the host are responsible for all participants.
All attendees or their parents must inform GTA of any pre-existing health conditions (especially light-sensitive epilepsy, motion sickness or heart conditions). Participation of any guest with any pre-existing health conditions is at the sole discretion of GTA.
You as the host are responsible for any damage to GTA property during the Event you will also be liable for cleaning or repairs beyond normal wear and tear.
Should there be any breach of these Terms and Conditions, or failure of participants to follow the directions of your GTA operators, then GTA reserve the right to terminate the booking immediately without refund.
Limitation of Liability
GTA takes no responsibility for injury caused to any participant through their participation in a GTA Event.
GTA accepts no liability for damage to property by either GTA operators or guests.
All liabilities and obligations imposed under statute are expressly excluded but only to the extent that this exclusion does not contravene the statute or cause any part of these Terms and Conditions to be void.
You as the Host agree to fully indemnify GTA against any and all liabilities, claims and costs incurred by GTA as a result of the actions of you, any guest or third party of the event, in respect of any loss or damage whatsoever to any party in connection with the Event, whether or not caused or contributed to directly or indirectly by any act, omission, neglect or other wrongdoing on the part of GTA.
Notwithstanding any other provision in these Terms and conditions, GTA’s liability is limited to the cost of the booking.
